What does EV fleet management software do and what should you check before buying it?
EV fleet management software helps your team combine vehicle availability, battery status, charging plans and operating records. Check which functions the offered system actually provides and test them with your vehicles. The Open Charge Alliance lists OCPP 1.6 among charger communication versions [S1]; that label alone does not prove vehicle-data access or a complete fleet workflow. Checked October 2026.
What should your daily EV fleet report tell you?
Start with the next departure. Your dispatcher needs to know which vehicle is available, whether it has the required charge and what action is needed before its next job. Define that operational question before requesting software demonstrations. Use the fleets and depots hub to place software within your wider charging plan.
Government-backed fleet trials describe mapping duty cycles and battery state-of-charge data against grid capacity [S3]. That illustrates why a location map alone is insufficient for an electric fleet. It does not establish that every commercial product supplies those inputs.
Ask each bidder to demonstrate the same proposed report: vehicle identifier, assigned job, departure time, current state of charge, target charge, allocated charger and exceptions. Require timestamps and a visible distinction between measured, estimated and missing values. Keep a failed or untested requirement on the acceptance sheet.
Can telematics show battery charge and usable range?
Telematics is the collection and communication of vehicle data. State of charge is the battery’s reported charge level; remaining range is an estimate of distance. Ask the bidder which fields it can obtain for each vehicle model and how frequently they update. The government’s fleet trial descriptions show vehicle battery data being used in energy-management planning [S3]. They are not a universal compatibility list.
Use your actual vehicle list for the demonstration. Include pool vehicles and older models if they matter to your operation. Ask whether access needs extra hardware, a manufacturer service, a separate subscription or an application programming interface (API), which is a defined route for software systems to exchange data.
Request a stale-data test: disconnect the vehicle feed and ask the dispatcher to identify what remains trustworthy. Then demonstrate a late vehicle return and a changed departure time. Your acceptance decision should reflect those results, with an agreed manual process where information is unavailable.
How should software schedule charging within your site limit?
Open Charge Point Protocol (OCPP) connects charging stations with charging management systems and includes smart charging functions [S1]. Fleet software may supply the operational priorities while a charge point management system (CPMS) handles charger communication. Ask the bidder to draw the actual control path.
Specify the available power, vehicle deadlines and essential building loads. Kilowatts (kW) measure power; kilowatt-hours (kWh) measure energy. A proposed charging schedule should fit both the energy needed before departure and the power available during that window.
| Demonstration | Evidence your team should request |
|---|---|
| Vehicles return together | Charging allocation within the proposed limit |
| Building demand rises | Revised charging power and affected departures |
| Urgent job arrives | Priority change, authorisation and revised targets |
| Charger fails | Alert, reassignment and dispatcher action |
| Connection is interrupted | Documented local behaviour and recovery record |
These are procurement tests, not a claim that every system provides them. Read charge point management software and OCPP and OCPI before treating a protocol badge as evidence of the complete workflow.
Open Charge Point Interface (OCPI) links charging operators and mobility services for roaming [S2]. Specify that connection separately from OCPP and from the vehicle-data feed. Use the fleet charge card comparison to specify payment coverage and billing controls.
How do driver apps and cost allocation fit together?
Give drivers a clear task: see their assigned vehicle, charging instruction and exception route. Ask how pool-vehicle changes, missed plug-ins and disputed sessions are handled. Demonstrate each task on the proposed app and retain the result with the procurement record.
Require an export that connects driver assignment, vehicle, location, session times, energy and payment evidence. For home, depot and public sessions, ask how the system avoids duplicate costs. Use the charging cost tool for scenario inputs and mixed fleet charging guide for the operating brief.
HMRC’s advisory electric-rate method distinguishes charging location and uses energy cost and vehicle efficiency [S4]. Keep these inputs visible in the export. An assumed 100 kWh session at an assumed 30p/kWh costs £30: 100 × £0.30. That is energy-cost arithmetic, not a reimbursement entitlement or a public charging price claim.
Which reports support tax review and protect driver data?
HMRC reviews advisory fuel rates quarterly and restricts their use to specified company-car circumstances [S4]. Request effective-dated rules and a record of which version each calculation used. Your accountant should approve the treatment before automated payments begin.
Benefit-in-kind (BIK) tax concerns the taxable company-car benefit; HMRC’s calculation uses car value and relevant vehicle details [S5]. A charging dashboard does not replace those records. Link your review to BIK tax on electric company cars and home charging reimbursement.
ICO says worker monitoring must be lawful, fair and transparent [S6]. Before rollout, specify the purpose, who can view location history, retention and how private use is handled. Ask your solicitor to review the monitoring and data-processing arrangements. Keep the app permissions consistent with that decision.
What should you check before buying and before leaving?
Request a complete cost schedule: vehicle hardware, data subscriptions, charger connections, onboarding, training, support, integrations and exit. Ask whether each item is charged per vehicle, charger, site or user. This guide gives no market subscription price because the opened sources do not establish a comparable package.
Require a sample data export and written migration responsibilities before signing. Identify who handles a charging failure outside office hours and how dispatcher access survives a staff change. Use depot sizing and the site check to connect the software specification to the installation.
What should you do next?
Bring your vehicle list, departure schedule and required reports to an installation discussion. Then get matched with an installer that covers your area.

Common questions
Does OCPP support public charging roaming by itself?
OCPP connects chargers to management systems. Open Charge Point Interface (OCPI) supports connections between charging operators and mobility services. Specify the roaming agreement and integration separately [S1] [S2].
Can you calculate consumption from the vehicle's range estimate?
Request measured charging kWh and mileage instead. HMRC distinguishes electricity cost per kWh and efficiency in miles per kWh in its rate method; an estimated remaining range is a different measure [S4].
Does a company-car charging report establish the benefit-in-kind amount?
No. HMRC's company-car calculation also depends on car value and relevant vehicle details. Export the needed records, then check benefit-in-kind treatment with your accountant [S5].
Can one reimbursement rule cover employees' own cars and company cars?
HMRC says its advisory fuel rates apply only to employees using company cars in the specified circumstances. Record vehicle ownership and have your accountant approve the applicable rule [S4].
What should you do if drivers dispute their charging allocation?
Retain the session identifier, vehicle assignment, mileage and correction history. These proposed fields let your reviewer reconcile the records against HMRC's mileage and charging-location method [S4].
Can managers track drivers without explaining the purpose?
ICO guidance requires lawful, fair and transparent worker monitoring. Explain the purpose and access rules, assess the monitoring and check the arrangements with your solicitor before deployment [S6].
